Our commitment to your privacy
Talentology Pty Ltd (ABN 85 617 895 342) provides career coaching, representation and community services to experienced IT professionals, and introduces employers and recruiters to trusted consultants through Fractional+45. Talentology is not a recruitment agency and does not provide recruitment or labour hire services.
We are committed to protecting the personal information of everyone we deal with. This policy explains how we collect, hold, use and disclose personal information, and reflects the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth) (Privacy Act), including the changes introduced by the Privacy and Other Legislation Amendment Act 2024 (Cth), the most significant reform to Australian privacy law since the Act commenced. A copy of the APPs is available from the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
This policy applies to job seekers, clients, contractors, consultants, employers, community members, subscribers and website visitors who engage with Talentology, including through talentology.com.au and our programs and brands: Talentology, CareerAGILITY, The Hustle Game, CareerAGENT, Fractional+45, CareerGUARD, CareerGYM, the Job Seeker Café and the H.I.R.E.D. Podcast.
What personal information we collect and why
Personal information is information or an opinion that identifies, or could reasonably identify, an individual. Depending on your relationship with us, we may collect:
- Name, contact details (address, email, phone) and date of birth
- Employment history, qualifications, skills, referee details and resumes or CVs
- Salary or rate expectations, work rights and career preferences
- Correspondence with us, including notes from coaching sessions, meetings, calls and emails
- Recordings and transcripts of coaching sessions, meetings and podcast interviews, where you have been told the session is being recorded
- Details you provide through our website, forms, surveys and event registrations (for example, the Job Seeker Café and The Hustle Game Bootcamp)
- Activity and progress information you share in our programs, such as The Hustle Game and CareerGYM scorecards and performance reports
- Your name, phone number and messages if you join our WhatsApp community chat
- Technical information collected through cookies and website analytics
We collect this information because it is reasonably necessary for our functions and activities as a career coaching and representation business. That means delivering our coaching and community programs (CareerAGILITY, The Hustle Game, CareerGUARD, CareerGYM and the Job Seeker Café), representing contractors and consultants through CareerAGENT, introducing consultants to employers and recruiters through Fractional+45, and marketing our services. We may also use it for secondary purposes you would reasonably expect and that are directly related to these primary purposes. You may unsubscribe from our marketing communications at any time by using the unsubscribe link or contacting us in writing.
Sensitive information
Sensitive information is a special category of personal information under the Privacy Act, including health information, racial or ethnic origin, and similar details. We do not seek to collect sensitive information as a general practice. Where it is volunteered to us (for example, details shared in a coaching conversation), we will only use it:
- For the primary purpose it was provided to us;
- For a directly related secondary purpose you would reasonably expect; or
- With your consent, or where otherwise required or authorised by law.
How we collect information
Wherever reasonable and practicable, we collect personal information directly from you: through coaching sessions, meetings, phone calls, emails, our website (talentology.com.au), online and in-person events, and our community chat.
In some circumstances we collect information from third parties, such as referees, recruiters and hiring managers we work with on your behalf, publicly available professional profiles (for example, LinkedIn), and other publicly available sources. Where we do, we take reasonable steps to make sure you are aware that the information was provided by a third party. We are not responsible for the content or privacy practices of third-party websites we may link to.
How we use and disclose your information
We may disclose your personal information to:
- Employers, recruiters or clients, where you have engaged us to represent you (for example, through CareerAGENT) or asked us to introduce you (for example, through Fractional+45);
- Referees you have nominated;
- Service providers who help us run Talentology, under confidentiality obligations. These include website hosting and website forms (Netlify), email marketing (MailerLite), event and session bookings (Calendly), our community chat (WhatsApp), document storage (Google Drive), design (Canva), meeting recording and transcription (tl;dv), podcast recording (Riverside), AI-assisted writing and analysis tools (Claude by Anthropic and ChatGPT by OpenAI), video-conferencing, and payment processing (Stripe and Xero);
- Third parties where you have consented; and
- Where required or authorised by law.
If you join our WhatsApp community chat or attend a group program, your name and anything you share there will be visible to other members.
We do not sell your personal information.
Overseas disclosure. Some of the platforms we use to run Talentology (for example, Netlify, MailerLite, Calendly, WhatsApp, Google Drive, Canva, tl;dv, Riverside, Claude and ChatGPT, as well as cloud-based email and video-conferencing) store or process data on servers located outside Australia, including in the United States. Before disclosing personal information overseas, we take reasonable steps to ensure the recipient handles it consistently with the Australian Privacy Principles, or that another exception under APP 8 applies. If you would like a list of the countries in which such recipients are likely to be located, please contact us using the details below.
Automated decision-making
From 10 December 2026, new transparency requirements under the Privacy Act (APP 1.7 to 1.9) require organisations to disclose in their privacy policy where personal information is used in automated decision-making that could reasonably be expected to significantly affect an individual's rights or interests.
Talentology may use software tools, including AI-assisted tools, to help us draft content and communications, prepare coaching reports (such as Hustle Game performance reports) and identify opportunities. These tools support our coaches' judgement. They do not make final decisions about you, or about your engagement with us, without human review. We do not currently use a computer program to make a decision, without meaningful human involvement, that significantly affects your rights or interests.
If this changes, or as OAIC guidance on this obligation is finalised ahead of the 10 December 2026 commencement date, we will update this section to describe the kinds of personal information used and the kinds of decisions involved.
Security, retention and data breaches
We store your personal information in a manner that reasonably protects it from misuse, interference, loss, unauthorised access, modification or disclosure. This includes physical, technical and administrative safeguards appropriate to a business of our size.
We retain personal information only for as long as it is needed for the purpose it was collected, or as required by law. Client files are generally kept for a minimum of 7 years, after which we take reasonable steps to destroy or de-identify the information.
Notifiable Data Breaches. If we experience a data breach that is likely to result in serious harm to individuals whose personal information is involved, we will comply with our obligations under the Notifiable Data Breaches scheme in the Privacy Act, including notifying affected individuals and the OAIC as required.
Accessing and correcting your information
You may request access to the personal information we hold about you, and ask us to update or correct it, subject to limited exceptions under the Privacy Act. To do so, please contact us in writing using the details below.
We will not charge a fee for an access request, though we may charge a reasonable administrative fee for providing a copy of your personal information. We may require proof of identity before releasing information, to protect it from unauthorised access.
Keeping your information accurate
It's important to us that the personal information we hold is accurate, complete and up to date, so we can continue to provide quality services to you. If any of your details change, or you believe information we hold is incorrect, please let us know as soon as practicable.
Your rights and how to make a complaint
If you have a concern about how we've handled your personal information, please contact us first, in writing, using the details below. We will investigate and aim to respond within 30 days.

Since December 2024, the OAIC has stronger enforcement powers, including the ability to issue infringement notices directly for administrative breaches (such as not maintaining a compliant privacy policy). Penalties for serious or repeated interferences with privacy can reach $50 million, three times the benefit obtained, or 30% of adjusted turnover, whichever is greatest.
Separately, since 10 June 2025, individuals may also have a statutory right to sue directly through the courts for a serious invasion of privacy, under the new statutory tort introduced by the Privacy and Other Legislation Amendment Act 2024.

We may update this policy from time to time to reflect changes in our practices or the law. The current version will always be available on our website. We recommend checking back periodically.
